We are the controller of personal data about visitors to trackabeast.com, people who request a sign-up, and the staff and volunteers of our customer organizations who use Trackabeast. This policy describes how we handle that data.
We are a processor for the data our customers (rescue groups and shelters) store in Trackabeast about adopters, fosters, volunteers, applicants, owners surrendering animals and other people they work with. Each customer decides what it collects and why; we only process that data to provide the service, under the customer's instructions and our data processing agreement with them. If you gave your information to a rescue or shelter, please contact that organization about it. If you contact us instead, we will pass your request on to them and help them answer it.
When you request a trial, we collect your organization's name, city, state and country, the names and email addresses of the contacts you enter, the approximate number of animals you handle, whether you work with dogs or cats, your preferred billing cycle, any message you write, your language and your IP address. We use this to contact you and set up your account (steps before entering a contract, Art. 6(1)(b)). If you do not become a customer, we delete the request after 12 months.
For the people who log in to Trackabeast we keep names, usernames, email addresses, passwords (stored only as a secure one-way hash, never in readable form), a record of each login (user, time and IP address, kept for 90 days) and a log of activity in the account, such as changes to records. We use this to provide the service, keep it secure and support you (contract, Art. 6(1)(b), and legitimate interests, Art. 6(1)(f)).
We keep your organization's billing contact and payment history. Card payments are processed by QuickBooks Merchant Services (Intuit) or PayPal; we do not store card numbers. We keep billing records for as long as tax and accounting law requires (legal obligation, Art. 6(1)(c)).
When you email us, we keep the messages and your contact details to answer you and keep a record of our support (legitimate interests, Art. 6(1)(f)).

We do not sell personal data. We share it only with service providers that help us run Trackabeast, under contracts that require them to protect it:
When a customer turns on an integration, Trackabeast sends the data needed for it on the customer's instructions, for example animal listings to Petfinder or RescueGroups.org, or an adopter's contact details to a microchip registry such as BuddyID, Petlink or AKC Reunite.
We may also disclose data if the law requires it.
Trackabeast is based in the United States and our servers are in the United States. When we receive personal data from the European Economic Area, the United Kingdom or Switzerland, we protect it with the European Commission's Standard Contractual Clauses, which are part of our data processing agreement with customers. Where our service providers are certified under the EU-U.S. Data Privacy Framework, we also rely on that certification.
All connections to Trackabeast use HTTPS. Passwords are stored only as secure hashes. Customer documents are kept in private storage and opened through links that expire after a few minutes. Access to each organization's data is limited to its own users, and access to our systems is limited to the people who need it.
If you are in the European Economic Area or the United Kingdom, you have the right to access the personal data we hold about you, to correct it, to have it deleted, to restrict or object to its processing, to receive it in a portable format, and to withdraw consent at any time without affecting processing done before. To use these rights, email support@trackabeast.com. We will answer within one month.
You also have the right to complain to a data protection authority. In Poland this is the Prezes Urzędu Ochrony Danych Osobowych (UODO), ul. Stawki 2, 00-193 Warszawa, uodo.gov.pl.
Trackabeast is a service for organizations and is not directed at children under 16. We do not knowingly collect their data for our own purposes.
If we change this policy, we will post the new version here with a new effective date, and tell customers by email about significant changes.
